Felt Part Sample Approval Checklist

Review custom felt samples against the drawing, material, assembly conditions and agreed acceptance criteria. Download a fillable sample review record.

A felt part sample review should identify the drawing revision, material, sample condition and assembly requirements before recording dimensions, appearance or functional results. The decision should state which checks were completed, which remain open, and what the approval covers.

This checklist is for reviewing samples already received. To prepare the earlier quotation request, use the custom felt part RFQ checklist. Keep the requirements and the observed results in separate columns or records so that an untested requirement is not mistaken for a passing result.

Identify the sample before comparing it

  • Record the project, part reference, drawing number, revision and units.
  • Identify the felt material and any backing reference used for the sample.
  • Record the sample identifier, quantity, date and condition on receipt.
  • State whether a reference piece is new, used, previously approved, or provided only to explain the intended shape.
  • Keep photos, drawings and test evidence with the same sample reference.

A used reference should not silently become the production specification. Identify which features are to be reproduced and which dimensions or material details still need an agreed requirement.

Felt sample approval checklist

Review area Requirements and results
Drawing and dimensions Agree: Critical features, units, tolerances, reference points and measurement conditions.
Record: Observed values, method, sample identification and any deviation.
Material and thickness Agree: The material reference and relevant thickness or other material values with their units and methods.
Record: The reference evaluated and the conditions under which values were checked.
Assembly and fit Agree: Mating surfaces, retention, installed gap and movement conditions where relevant.
Record: Fit observations and the assembly configuration actually used.
Edges and appearance Agree: Agreed cut-edge, surface, color and presentation criteria.
Record: Photos or observations tied to the sample, including differences needing review.
Functional requirements Agree: The intended function, procedure, test conditions and acceptance criteria.
Record: The evidence obtained, its scope, and any checks not yet completed.
Identification and packaging Agree: Part labels, quantity units, separation and packaging requirements.
Record: The presentation received and changes needed for the next stage.

How should thickness and fit be recorded?

Identify whether the thickness requirement refers to the free part or a condition in the installed assembly. Record the measurement method and conditions rather than comparing two numbers without context. Keep the installed gap and assembly observations separate from the free-part measurement.

For units and material values, see the felt material specification notes. If you derive apparent density from matching areal weight and thickness measurements, use the felt density calculator and retain the original inputs and method. For circular outlines, use the ring dimension checklist to distinguish inside diameter, outside diameter and radial width. The washer sample checks cover fit and contact questions for washers and spacers.

If the sample is a proposed material substitution, compare the approved and alternative references using the wool felt vs polyester felt comparison checklist. Keep composition and construction differences visible in the approval record.

Which application checks belong in the review?

Choose checks from the intended assembly requirements. A drawing check establishes what was measured against the drawing; it does not by itself document sealing, adhesion, acoustic or other performance. Record the conditions and evidence for each required function.

For backed parts, review the actual substrate, installation procedure, liner handling and relevant use conditions with the adhesive-backed felt checklist. For a gasket or seal brief, use the gasket and seal inquiry comparison to describe the function. Acoustic projects should identify their required evidence in the acoustic project checklist.

Record the decision and remaining actions

Use a clear decision such as approved, conditional, rejected or further review. Name the reviewer and date, then list required changes, missing evidence and the next review step. If only dimensions were accepted, say so explicitly rather than treating every application requirement as approved.

Tie the decision to the identified drawing, material, backing and assembly conditions. If any of these change, determine which checks need review before relying on the earlier record.

Save a completed copy with your drawing and supporting evidence. The worksheet provides fields for identification, dimensional observations, assembly fit, functional checks, appearance, packaging, review decision and open actions.

When a change or additional sample needs review, send Feltova the part reference, drawing revision, findings and open questions. Share the specific requirement that remains unresolved so the next review can address it.
